The International Radiation Protection Association ('IRPA')
Ethics Forum
Rules and Guidelines ('Rules')

7 May 2001

Recital:

This is an internet forum (the 'Forum') set up by the International Radiation Protection Association for use by its members ('IRPA Members') to review all relevant existing codes and to develop a set of principles that could serve as a Code of Ethics for IRPA societies which they could adapt to their own specific situations. It is open until 28 May 2004. The Forum is administered by the Society for Radiological Protection (the 'Society') on behalf of IRPA. Forum Members (as defined below) have access to the website feature Polls, but do not have access to the website features Members, Files, Calendar, Links, Database, Chat.

1. Acceptance
By using the Forum you agree to these Rules as amended from time to time, with the most current version displayed at http://www.srp-uk.org/irpaethics. If you do not agree with the Rules after they have been amended, please un-subscribe as set out in Clause 2.b below.

2. Joining and Leaving
a. Only an IRPA Member may join the Forum and become a 'Forum Member'. To do so, send a blank message to
irpaethics-subscribe@yahoogroups.com

b. To leave the Forum, send a blank message to
irpaethics-unsubscribe@yahoogroups.com

c. Each email will automatically include the note "To unsubscribe, send a blank message to irpaethics-unsubscribe@yahoogroups.com".

d. If you change your email address in any way you will need to re-join the Forum: Unsubscribe using the email address you used to join the Forum and resubscribe using your new email address.

3. Receipt of emails
By default you will receive each message as an individual email. To choose other options you must register (free) at
http://groups.yahoo.com/convwiz
and get a Yahoo! ID and password or, alternatively, you can send the email commands given below. Options are:

a. "Individual Emails". To restore this setting, send a blank message to
irpaethics-normal@yahoogroups.com

b. "Daily Digest". Postings are delivered daily, bundled into one email, the best option if you wish to receive fewer emails. To select, send a blank email to
irpaethics-digest@yahoogroups.com

c. "Web only / No mail". To stop receiving emails, for example while you are on holiday, send a blank message to
irpaethics-nomail@yahoogroups.com

4. Postings
a. Only Forum Members can post to the Forum. To post a message, send it to
irpaethics@yahoogroups.com

b. Posted messages are distributed directly to the Forum.

c. Attachments will be stripped from all messages before distribution to the Forum. To let other Forum Members see a file, invite them to email you off-Forum asking for the file. Alternatively, place it on your own web site or FTP server and provide the address.

d. IRPA does not monitor postings except as set out at Clause 8. Any views expressed in the postings are not necessarily endorsed by IRPA.

5. Content of Postings
a. The content of emails must conform to the purpose of the Forum (see Recital).

b. Avoid sending a message in anger. All messages should be polite, professional and impersonal. Examples of unsuitable content include but are not limited to:

i. Repeated announcements.

ii. Virus alerts.

iii. Messages of thanks, which should be sent to the individuals concerned.

iv. Automatic replies of the type "I'm out of the office"

v. Material extraneous to the purpose of the Forum.

vi. Anything illegal, offensive or libellous.

c. Each message should include your name and email address and the name of the IRPA society of which you are a member.

d. The subject line should be concise and no longer than 30 characters and spaces (more might not be displayed).

e. Your message must not copy material that is displayed elsewhere on the web. Instead, give the web address and an indication of the content.

f. The language of the Forum is English.

6. Replies
a. The Forum must not be used for personal replies.

b. Replies should be concise. Do not quote the whole of the message to which you are replying but delete all of the text apart from the specific points you are replying to.

c. Replies are addressed to the Forum by default. For personal replies you must change the address to avoid embarrassing yourself and IRPA. Negligent use of the reply facility may prejudice your Forum membership.

7. Archive
Anyone can read the archived messages on the web at
http://groups.yahoo.com/group/irpaethics

8. Illegal, Offensive Or Libellous Material
a. You must not send illegal, offensive or libellous material to the Forum. Messages may be received or viewed in many countries and must not offend in any.

b. Notices of offensive content must be sent to
irpaethics-owner@yahoogroups.com
The Council of the Society will appoint appropriate people to administer the Forum and check for notices of offensive content. The IRPA Executive Officer will consider and determine the complaint.

c. If on any working day the monitoring cannot be performed, the administrator may select the option "Messages Off (no one can access the Message archives; archiving is suspended)".

d. At IRPA's sole discretion it may remove the message complained of from the web (normally by the first English working day following transmission of the complaint). IRPA reserves the right to terminate Forum membership, at its sole discretion, for Forum Members whose postings cause too many complaints.

9. Auto-responders
Automatic replies of the type "I'm out of the office" may cause a mail loop as follows: the reply from your system is posted, your system receives your copy of the posting and sends a second automatic reply in response, and so on. You must prevent this by setting all of your group delivery options to "No Mail / Web Only", as set out in Clause 3.c above, before you start the auto-responder.

10. Help
In case of problems not covered by these rules please contact:
irpaethics-owner@yahoogroups.com
giving the email address you used to join the Forum and details of the problem.

11. Breach of Rules and Guidelines
IRPA may, at its sole option, exclude you from the Forum if in its sole opinion you are breaching the rules or putting the reputation of IRPA at risk in any way.

12. Indemnity
The Society and the people appointed under Clause 8.b shall out of the property and funds of IRPA be indemnified against all liabilities arising out of their proper administration of the Forum.

The IRPA Executive Officer has approved these rules.
